Candle making inventory management only works if it tracks two things at once: the raw components sitting on your shelf, and the finished candles and soap bars they turn into. A pound of soy wax, a bottle of fragrance oil, a box of CD wicks and a case of 8oz jars are not the same asset as the fifty candles you pour from them — but the moment you pour, they are directly linked. Most spreadsheets and generic stock apps only understand one side of that equation, which is why makers end up counting wax by eye and discovering mid-pour that a signature fragrance ran out three orders ago.
This guide walks through how to run a two-tier maker inventory the way candle and soap businesses actually operate — recipes, pours, cure times, reorder points and craft-fair sales — and where the right tooling removes the manual decrement work entirely.
The two-tier problem: raw components vs. finished candles and bars
Every candle and soap operation lives at a seam. On one side are raw components: wax (soy, paraffin, beeswax, coconut or blends), fragrance oils, base oils and fats for soap (coconut, olive, palm, tallow, shea, castor), lye (NaOH for bars, KOH for liquid soap), wicks sized by series, jars, lids, warning labels, dust covers and shrink wrap. On the other side are finished goods: an 8oz soy candle, a bar of lavender cold-process soap — each one a sellable SKU with its own price and barcode.
The link between the two tiers is a recipe and a production event. When you pour, raw stock has to fall and finished stock has to rise in the same instant. Trying to keep both counts accurate by hand — decrementing wax here, wicks there, then adding candles somewhere else — is where the numbers drift. Build a bill of materials for every candle and soap recipe
The recipe that joins your two tiers has a name in inventory terms: a bill of materials (BOM). A BOM lists every component and quantity that goes into one finished unit. If you have never formalized one, our primer on what a bill of materials is covers the fundamentals.
For candles, the recipe is driven by fragrance load — the weight of fragrance oil as a percentage of wax weight. You calculate fill weight from container volume times the wax's specific gravity, then apply the load. Soy typically runs 8–10% (up to roughly 10–12% max), paraffin 6–10%, beeswax 3–6%. So an 8oz soy candle BOM might read:
- 200g soy wax
- 16g fragrance oil (8% load)
- 1 wick (e.g. CD, ECO or HTP series, correctly sized)
- 1 jar + 1 lid
- 1 warning label
For cold-process soap, the BOM is your base-oil blend plus a lye amount computed from each oil's SAP value and your chosen superfat (5–8% typical, leaving extra unsaponified oil for a gentler bar), distilled water, fragrance or essential oil, colorants and additives like clays or oatmeal. Define it once and you never re-run the lye math by hand.
Build your BOM in the same weight units you pour in — grams for most makers. If your recipe is in grams but your wax is stocked in pounds, set the component to grams and let stock convert, so a 10kg pour cleanly deducts from a 25lb slab.
How production auto-deducts wax, fragrance, wicks and jars per pour
This is where a BOM earns its keep. Batch and lot tracking: cure times, pour dates and traceability
Soap adds a stage candles mostly skip: a work-in-process cure. Cold-process bars are cut from the loaf after 24–48 hours but need a 4–6 week cure before sale — water evaporates, the bar hardens and loses roughly 10–15% of its weight. Those bars exist but are not sellable yet, and their net weight isn't final until cure completes.
Label net weight after cure, not at pour. A bar weighs 10–15% less once cured, so printing a pre-cure weight overstates net contents — a labeling violation under FPLA/CPSC rules for true soap.
With batch and expiry tracking, each pour gets a lot number tying it to the specific wax lot, fragrance lot and pour date, plus a cure-complete date for soap. If a customer reports poor scent throw, tunneling, or DOS (dreaded orange spots — rancid oxidation spots on aging soap), you trace it straight back to the batch and see exactly how many units from that lot are still on your shelves. Selling oldest-first (FEFO) also matters because fragrance and essential oils degrade over time and candles lose scent throw as FO ages.
Reorder points so you never stall a pour
Nothing kills a Q4 candle rush like a signature scent running out mid-season. Reorder points on wax, popular fragrance oils, wicks and jars trigger a low-stock alert before you hit zero, so restock lands before the next pour. A simple starting formula:
reorder point = (avg daily usage × lead time in days) + safety stock
Set these on your fastest-moving components first — your best-selling fragrances, your standard jar, your most-used wick series — and keep extra safety stock on anything with a long or unreliable supplier lead time. Because production deducts components automatically, your usage rate reflects real pours, not guesswork.
Reorder points are only as good as the counts feeding them. Auto-deduction on every pour is what keeps your wax and fragrance numbers trustworthy enough to reorder against.
Selling and counting stock offline at craft fairs and markets
Craft fairs and farmers markets are where connectivity dies. Booth wifi is usually poor or nonexistent, yet that's exactly where you're selling fastest and most need to know what's left. Not every gram of raw material becomes a sellable unit, and pretending otherwise inflates your margins. Track waste separately so your true cost of goods stays distinct from shrinkage. Common draws:
- Candle defects: tunneling, sink holes, frosting, wet spots, cracked jars, over-pouring.
- Soap defects: seized or ricing batter, lye-heavy or superfat errors, soda ash, wrong fragrance, mislabeled bars.
- Evaporation and spillage: fragrance and essential oil loss over time and during handling.
- Testers and samples: test candles, sample bars and giveaways consume real stock.
- Breakage: cracked jars in transit and at the market booth.
Logging these against a waste reason gives you a real read on which fragrances fail, which jars crack, and how much of a batch you're actually converting to revenue.
Syncing wholesale, Faire and Shopify sales back to one stock count
Multi-channel is where finished-goods counts fall apart if you let each channel keep its own tally. You might allocate units to a wholesale boutique order through Faire, sell more at a weekend market, and take online orders through Shopify — all drawing from the same finished-goods bin.
